Patient Terms & Privacy Notice
This page has two parts. Part 1 sets out the terms of your treatment and our fees. Part 2 explains how we collect, use and protect your information. You agree to both when you register with the clinic.
Part 1: Terms of Treatment & Fees
1. Consent to treatment
I consent to treatment at The Schoeman Clinic and understand that I may be prescribed both licensed and unlicensed medications, including compounded medications, where my doctor considers this clinically appropriate. Any medication prescribed by the clinic's doctors is for my personal use only.
2. Ongoing care and monitoring
I understand that I am asked to hold at least one appointment with the clinic each year. Unless my doctor advises otherwise, I consent to routine monitoring, scans or blood tests relevant to my treatment. It remains my responsibility to keep up to date with the screenings relevant to my age and sex (for example those recommended by the NHS), unless I have been referred for them by the clinic.
3. Costs and fees
I remain responsible for paying all fees and expenses for the services I receive, including consultations and any other services provided. Fees vary by appointment type and a current list is available on request. For new patients, full payment is required at the time of booking; a refund is issued if the appointment is cancelled at least two working days in advance. For all other appointments, payment is required three days before the appointment. Insurance companies do not typically cover hormonal or menopausal conditions.
4. Communication after your consultation
Following a consultation we typically respond to up to two brief emails. If a matter is more complex, we will usually arrange a short, payable follow up video appointment.
5. Your information
How we collect, use and protect your personal and health information is set out in Part 2 below. You can access or amend your information, and change or withdraw your consent, at any time.
6. Respect and conduct
The Schoeman Clinic operates a zero tolerance policy towards rudeness or any form of abuse directed at our staff. We may decline or end our services where this policy is not respected.
7. Your agreement
By ticking that you agree to these terms on the registration form, you confirm that you have read, understood and accept the Terms of Treatment and Fees above and the Privacy Notice below, including the cost arrangements.
Part 2: Privacy Notice
1. Who we are
The Schoeman Clinic is the data controller for the information we hold about you. We are a UK private clinic registered with the Care Quality Commission (CQC). We provide care to adults aged 18 and over, and this notice is written for adults.

2. The information we collect
We collect the details you give us and the information created as we care for you, including:
- Identity and contact details (name, email, phone, sex at birth).
- Health information you share, your medical history, test results and treatment plans.
- Appointment, payment and billing details.
- Your messages and communications with us.
We also collect proof of identity (such as a passport or driving licence) to verify who you are and protect your records.
3. How and why we use it
We use your information to respond to your enquiry, provide and coordinate your care, arrange tests and prescriptions, manage your appointments and payments, verify your identity, and meet our legal, regulatory and professional duties, including clinical audit, quality assurance, staff training and safeguarding.
We use secure AI assisted technology to help prepare medical reports and documentation; this is always reviewed by your clinician and never replaces clinical judgement. We send you clinic news and updates only if you opt in.
4. Our lawful basis
Under UK GDPR we rely on: your consent (Article 6(1)(a)) to respond to enquiries and to send marketing; contract (Article 6(1)(b)) to provide your care and take payment; legal obligation (Article 6(1)(c)) where the law requires; and our legitimate interests (Article 6(1)(f)) to run the clinic and send service messages.
Because health information is special category data, we also rely on your explicit consent when you enquire (Article 9(2)(a)) and on the provision of health care once you are a patient (Article 9(2)(h)), together with the Data Protection Act 2018.
6. Storing your information and international transfers
Your clinical record is held securely in our clinical system in the UK. Some of the service providers we use store information outside the UK; where they do, we put appropriate safeguards in place, such as the UK International Data Transfer Agreement, so your information stays protected.
7. How long we keep it
We keep your information only as long as needed. Adult clinical records are kept for around eight years after your last treatment, in line with healthcare guidance; enquiries that do not proceed to registration are kept for 12 months and then deleted; financial records are kept for around six years; and marketing contacts are kept until you unsubscribe.
8. Keeping your information secure
We protect your information with access controls, staff confidentiality obligations and appropriate technical and organisational measures, and we limit access to those who need it to care for you.
9. Your rights
You can ask to access, correct or delete your information, restrict or object to how we use it, ask for a copy to reuse elsewhere, and withdraw consent at any time, as easily as you gave it. Withdrawing marketing consent never affects your care. We respond within one month. The right to erasure is limited where we must keep records for clinical or legal reasons.
10. Marketing and your choices
We send clinic news and newsletters only to people who have opted in, and you can unsubscribe at any time. We use WhatsApp, SMS and email for appointment reminders and service messages; these are separate from marketing and are part of providing your care.
11. Your right to complain
If you have a concern about how we handle your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
12. Changes to this notice
We may update this notice from time to time. The current version applies from 4 August 2026.
